How to import customers and orders from another panel

PanelHubs Team · · 5 min read

To move customers and orders from another panel to PanelHubs, you export them as CSV files from your old panel, upload them in the Migrate tab, match the columns, and check balances and currency. PanelHubs reviews the import, usually within a working day, and then each customer gets a "set your password" email so they can sign in to your new panel with their balance and history in place.

Here is the process step by step, plus the details that trip people up.

Before you start

A little preparation makes the import clean:

  • Set your new panel's main currency first. Balances will be imported into it, so decide this before anything else.
  • Pick a quiet moment. Balances keep changing while customers use the old panel. Plan to export late in the day or after announcing a short pause in top-ups.
  • Tell customers what's coming. A short message saying "we're moving to a new panel; you'll receive an email to set your password" stops people thinking the email is a scam.
  • Have your services and providers set up on the new panel, so customers can order as soon as they sign in.

If you're planning the whole move, including the domain, our checklist for switching panel platforms covers the bigger picture.

Step 1: Export your customers as CSV

Most panels let admins export the user list as a CSV file (a spreadsheet saved as plain text). Look in the users or customers section of your old admin area for an export option. The more of these fields you can include, the better:

  • Username
  • Email address
  • Balance
  • Total spent
  • Discount or custom rate, if you gave one
  • Contact details such as phone, WhatsApp or Telegram

Open the file in a spreadsheet program to check it looks right. Make sure every row has an email address, since that is how customers will receive their password link. Remove test accounts and obvious spam sign-ups now.

Step 2: Export your order history

If your old panel lets you export orders, do that too. Importing order history means returning customers can still see what they bought, which helps with refill requests and builds trust that nothing was lost. Typical fields are the order ID, the customer's username, the service, the link, quantity, charge, status and date.

Step 3: Upload in the Migrate tab

In your PanelHubs account, open your panel and go to the Migrate tab and upload your customers file. Then match each column in your file to the right field: which column is the username, which is the email, which is the balance, and so on. Different panels name their columns differently, so take a minute here. If a column doesn't match anything you need, leave it unmapped.

Repeat for the orders file if you have one.

Step 4: Check balances and the currency rate

Balances are the part customers care about most, so double-check them.

  • Same currency: if your old panel and new panel both use, say, US dollars, balances carry across as they are.
  • Different currency: if your old panel used naira and your new panel's main currency is dollars (or the other way round), balances need converting with an exchange rate. Choose the rate carefully and note it down, in case a customer asks how their new balance was calculated.

For example only: a customer with 15,000 in the old currency and a rate of 1,500 to the dollar would have a balance of 10 in the new one. Spot-check a few of your biggest customers by hand before you submit.

Step 5: PanelHubs review

Every import is checked by PanelHubs before it goes live, usually within a working day. This catches problems like mismatched columns or balances that look wrong before your customers see them. Use the wait to finish your service descriptions and test a payment.

Step 6: Invitations and passwords

No panel can export passwords. They are stored in a scrambled form that can't be turned back into the original password, which is a good thing for security. So once the import is approved, each customer receives a "set your password" email. They click the link, choose a password, and they're in with their balance and history.

To help this go smoothly:

  • If you use your own email through SMTP, the emails come from your own address, which customers recognise. Set that up before the import if you can.
  • Post in your WhatsApp or Telegram groups that the emails are on their way and to check spam folders.
  • Expect a few customers to have old or mistyped emails. Handle those through tickets and verify identity before changing an email address.

After the import

In the first week, watch for:

  • Balance questions. Keep your exported file so you can check any customer's old balance quickly.
  • Discounts. Confirm that customers who had special rates still have them.
  • Resellers using the API. They'll need a new API key from their account on your new panel and your new API URL. Since PanelHubs uses the standard API v2, most only need to change the URL and key.
  • Login help. Add a FAQ entry explaining the password email.

Encourage everyone to turn on two-factor sign-in once they've set their new password.

Getting started

Exporting, matching and checking usually takes an evening; the review takes about a working day. Once it's done, your customers pick up where they left off. If you're ready to move, create your PanelHubs panel and open the Migrate tab.
