What to know before choosing providers for your panel
PanelHubs Team · · 5 min read
Your customers see your brand, but your providers do most of the delivery. A slow or unreliable provider makes your panel look slow and unreliable, no matter how good your website is. So choose providers by testing them, not by reading their price list.
Before you commit, check six things: how their services actually perform, how fast they start, how they handle refills, how stable their API is, how good their support is, and how much balance they expect you to keep. Then make sure you always have a backup.
Test with small orders first
A provider's description tells you what they hope will happen. A test order tells you what does happen. Before adding a service to your panel, place a small order on an account you control and write down:
- How long it took to start.
- How long it took to complete.
- Whether the full quantity arrived.
- How much it dropped after a few days and after a few weeks.
- Whether the status on the provider's side matched what you saw.
Test the services you plan to sell most, not every single one. A reseller in Lagos focusing on Instagram and TikTok might test ten key services across two or three providers. Keep the results in a simple spreadsheet. After a month, you'll have a clear picture of who delivers.
Speed and consistency
Fast is good, but consistent is better. A provider that starts within 30 minutes every time is easier to sell than one that sometimes starts in two minutes and sometimes in two days. Customers plan around what you tell them.
Repeat your tests at different times of day and on different days of the week. Some providers slow down when they're busy. Write realistic start times into your service descriptions based on what you observed, not on the best case.
Refill behaviour
If you plan to sell refill services, test the refill itself, not just the original order. Wait for a drop, request a refill, and note how long it took and whether the count was restored. Check the details:
- How long is the refill period, and when does it start?
- Is there a minimum drop before a refill is accepted?
- How often can a refill be requested on one order?
- What makes a refill invalid, such as a changed username?
A provider that advertises refills but rarely delivers them is worse than one that honestly sells no-refill services. For more on this, see refills explained.
API reliability
Your panel talks to providers through the standard SMM API v2. If their API is slow, goes down often, or returns odd statuses, your orders get stuck. Signs of a healthy API:
- Orders are accepted quickly and return an order ID straight away.
- Statuses update regularly and match reality.
- Error messages are clear, for example "not enough funds" or "invalid link".
- Refill and cancel requests work through the API, not only through their website.
On PanelHubs, order statuses are synced from providers automatically. If an order fails, it's kept with the provider's reason, and if the reason was a low provider balance, it's resent automatically after you top up. That makes clear error messages from a provider especially useful.
Support you can reach
Sooner or later something will go wrong: a batch of orders stuck, a service that stopped working, a refill that never arrived. When that happens, you need a provider who answers. Before you depend on one, open a ticket with a simple question and see how long the reply takes and how useful it is.
Look for providers who announce service changes in advance, who explain problems honestly, and who don't disappear when things go wrong. Ask other panel owners you trust about their experience, but test for yourself too.
Balance management
Providers work on prepaid balances. You top up, and orders draw from that balance. Two things to think about:
- How much to keep. Enough to cover a few days of normal orders, not months. A large balance with one provider is a risk if they close or freeze accounts.
- How to top up. Check which payment methods they accept and how long top-ups take to arrive. A provider that only takes one method you find hard to use will cause delays.
PanelHubs sends low provider balance alerts, so you can top up in time without overfunding. Keep an eye on the balance before weekends and holidays, when orders often spike.
Use backups, always
Even the best provider has bad days. Relying on one provider for everything means that when they slow down, your whole panel does. On PanelHubs you can set backup providers per service, so a key service can keep running from a second source.
Choose backups that you've also tested, and keep a small balance with them so they're ready. Prices can follow the provider automatically, which helps keep your margins sensible when providers change their rates. Some owners also buy from other PanelHubs panels that have chosen to act as providers, using the "find a PanelHubs provider" option, which adds more choice.
A simple provider scorecard
Rate each provider from 1 to 5 on these points, every month:
- Delivery matches the description.
- Start time is consistent.
- Refills are honoured.
- API is stable and statuses are accurate.
- Support replies quickly and helpfully.
- Top-ups are easy.
Drop providers who score low for two months in a row, and move more volume to the ones who score high.
Getting started
Pick two or three candidate providers, run small tests this week, and keep notes. Connect the best one as your main provider and another as backup. If you want a panel where connecting providers, importing services and setting backups is straightforward, you can set up your PanelHubs panel and start testing.
