How an Admin API saves SMM panel owners hours every week

PanelHubs Team · · 5 min read

An Admin API lets your own tools and scripts do admin work on your panel without you clicking through pages. Instead of opening the dashboard to check orders, look up a customer or confirm payments, a small script or automation does it on a schedule and tells you only when something needs a human.

On PanelHubs, owners and staff can automate the admin side of the panel (orders, users, payments and more) with an Admin API key. Below are the everyday tasks worth automating first, how webhooks fit in, and how to handle your key safely.

Admin API vs the customer API

Your panel already has a customer-facing API v2. That is the one resellers use to place orders on your panel from their own panels or apps. The Admin API is different: it acts on the owner's side. It can see and manage things a customer never could, such as other users, all orders and payment records.

That difference matters for two reasons. It is far more useful for running the business, and it is far more sensitive. Treat the Admin API key like the keys to your shop.

Everyday tasks worth automating

Start by writing down what you do every day in the admin area. If a task is repetitive and follows clear rules, it is a good candidate. Some common examples:

Order checks

  • Pull a list of orders that have been pending or in progress for longer than usual, and send it to your phone each morning.
  • Spot services where many orders came back partial or cancelled in the last day, so you can review the provider or switch to a backup.
  • Keep an eye on failed orders. PanelHubs keeps the provider's reason and resends them after you top up the provider, but a daily summary helps you notice a pattern early.

Payments

  • Export the day's payments into a spreadsheet for your bookkeeping.
  • Flag manual payments with proof uploads that are still waiting for review.
  • Compare totals by payment method so you know whether Paystack, M-Pesa or crypto is bringing in most of your money this month.

User tools

  • Look up a customer quickly from a support tool or a private Telegram bot without opening the admin panel.
  • Build a list of customers who have not ordered in 30 days so you can send them a broadcast or a promo code.
  • Find your top spenders each month and review whether they deserve a custom price or loyalty discount.

Reports

PanelHubs already has reports with charts for payments, orders, profit, services and customers. The Admin API is useful when you want those numbers somewhere else, such as a shared Google Sheet for a business partner, or a weekly summary posted into your team's chat.

Webhooks: let events come to you

An API is something you call. A webhook is the other direction: the panel calls you when something happens. PanelHubs has a webhooks module you can switch on in Modules, which works with tools such as Zapier, Make and n8n.

Combining the two is where automation gets practical. For example:

  1. A new payment arrives and a webhook fires.
  2. Your Make or n8n scenario receives it and adds a row to your sales sheet.
  3. If the amount is above a level you set, it sends you a message so you can thank the customer personally.

You don't need to be a programmer for this. Zapier, Make and n8n are visual tools: you connect blocks rather than write code. If you can follow a recipe, you can build a simple workflow.

Handling your Admin API key safely

Because the Admin API can see and change real customer data and balances, the key needs care. A few rules:

  • Never share it in chat. Not on WhatsApp, not in a Telegram group, not with someone who says they are from support. A real support team does not need your key.
  • Don't put it in public places. Keep it out of screenshots, public code repositories and shared documents.
  • Store it where your automation runs. Most automation tools have a secure field for credentials. Use it instead of pasting the key into plain text steps.
  • Give staff only what they need. PanelHubs staff accounts have roles and permissions and an activity log. Not everyone on your team needs Admin API access.
  • Act fast if it leaks. If you think a key has been exposed, replace it as soon as possible and check your activity log for anything unusual.

Start small, then build

The best first automation is boring and useful. A daily message listing stuck orders, or a sheet that fills itself with payments, can save you a surprising amount of checking. Build one, run it for a week, fix what is annoying, then add the next. Over a few months, the small hours you save add up, and that time goes back into serving customers and growing the panel.

One thing to keep in mind: automation should never replace honest service. Follow each social platform's rules and your local law, and be clear with customers about what a service does. Automate the admin, not the relationship.

Getting started

Every PanelHubs panel comes with the Admin API and a webhooks module you can switch on when you are ready. If you want a panel that gives you those tools from day one, you can launch yours here.
